Your CRM is rotting: a maintenance plan for B2B contact data

B2B contact data decays fast — people change jobs, domains die, titles shift. A practical enrichment cadence that keeps your lists sendable.

The list you exported last year is not the list you have today. People changed jobs, companies got acquired, domains were retired, and the champion who loved your product now works somewhere that's never heard of you. Industry estimates put B2B contact decay at roughly a quarter to a third of a database per year — which means a CRM left alone for two years is mostly fiction with a login page.

Decay isn't uniform, so triage

Not every record deserves the same attention. Sort your database into three piles before spending a single credit:

  • Active pipeline and customers: verify on every meaningful touch. A bounced email to an open opportunity is a self-inflicted wound.
  • Warm history: replied in the last year, attended something, downloaded something. Re-verify quarterly and re-enrich before any reactivation campaign.
  • Cold storage: everything else. Don't rolling-verify it — verify just-in-time, the week you actually plan to use it.

The enrichment pass that pays for itself

Enrichment isn't just filling empty email columns. The highest-value fields to refresh are the ones that change silently: current company, current title, and whether the address still resolves to a live mailbox. A CSV pass that re-checks those three fields before a campaign routinely rescues 20–30% of 'dead' contacts — people who didn't disappear, they just moved — and quietly removes the addresses that would have burned your sender domain.

Make it a cadence, not a project

The failure mode is the annual 'data cleanup project': a heroic quarter-end effort that decays right back within months. The fix is boring: a standing monthly job for the warm pile, verification wired into the moment of send for everything else, and a rule that nothing enters a sequence without a fresh verdict. Hygiene that runs on a schedule doesn't rely on anyone remembering it.

Measure the only number that matters

Track deliverable rate per segment over time — not database size. A database that shrinks while its deliverable rate climbs is getting healthier. A database that only grows is just accumulating rot with better dashboards.

Upload a CSV and refresh emails, titles and verdicts in one pass.
